Case Study 01 — Tutoring Centre

Moving seven years of student records to shared cloud storage

The situation

A tutoring centre with four full-time and three part-time staff had student records, lesson materials, and invoices spread across individual laptops. There was no centralised storage and no backup routine. Staff emailed files to each other when they needed access.

What we did

We started with a Cloud Readiness Assessment to map the full extent of the file situation. The client then proceeded with a Guided Migration. Files were moved in three stages over two and a half weeks. We set up a shared drive structure and taught the team how to use it during two afternoon sessions.

The result

Files are now in one shared location with a clear folder structure. Backups run automatically. The centre owner estimates that two hours per week previously spent tracking down files has been reduced to near zero. The migration took 18 days from start to handover.

Case Study 02 — Accounting Firm

A two-partner firm moving from a local server to Microsoft 365

The situation

A small accounting firm had been using a local server for seven years. The server was aging and the IT support company they relied on had closed. The two partners wanted to move before the server failed, but were concerned about client confidentiality during the transfer.

What we did

We ran an assessment that identified the full scope of data on the server, then produced a staged migration plan with explicit sign-off points. The move to Microsoft 365 happened in four stages. Access permissions were reviewed at each stage and tightened before the next began.

The result

The firm now runs on Microsoft 365 with SharePoint for client documents and automatic cloud backup. The total migration took 22 days. The old server remained intact and available as a fallback throughout — it was decommissioned only after both partners confirmed satisfaction.

Case Study 03 — Design Studio

Quarterly oversight for a creative studio after a self-managed migration

The situation

An interior design studio had moved to Google Workspace the previous year using guidance from YouTube tutorials. The setup worked but was patchy — project folders lacked structure, some staff were sharing via personal accounts, and no one was sure what was or was not being backed up.

What we did

The studio engaged the Cloud Care service. The first quarterly review uncovered three issues: overlapping personal and work accounts, an inactive admin account with full permissions, and a folder of large project files that had never been moved to the shared drive. All were resolved in the same session.

The result

The studio is now in its second year of Cloud Care. Subsequent quarterly reviews have been shorter as the setup has stabilised. The owner described the arrangement as "a sensible overhead for something I would otherwise not think about until it caused a problem."
